Job Title: Project Manager

Job Location: Colombo, Sri Lanka

Supervisor: National Director

Supervisee: Operations Team

Summary of Position Description
The Project Manager will be based in Colombo and support in project implementation and
execution. The position will be expected to work with other staff, partners and vendor to
ensure clear, professional and smooth operation.

Responsibilities: The specific tasks under this assignment are as follows

Project Planning

 Manage and oversee all the projects implemented throughout the year
 Work closely with all heads of products to facilitate their events and programs effectively
as per the guidelines.
 Facilitate all products & product heads to carry out operations & to achieve the product
 Forecast and plan all future events and projects yearly basis. Maintain a yearly calendar
with all anticipated programs
 Identify areas of needs the beginning of every year for upcoming events and projects.
 Prepare, structure and contract necessary vendors, service providers, and stakeholders
for the scheduled events
 Evaluate volunteer and staff capacity and recruit as needed
 Coordinate with other project heads and provides timely reminders as necessary
 Schedule meetings as necessary with the support of the Project Coordinator
 Plan all logistics and administrative requirements for all the future event
 Ensure timely marketing and social media communications concerning all the events
 Manage all inbound and outbound travel.
 Ensure appropriate hospitality for expatriates/partner at the time of arrival until their

Marketing and Communication

 Handle all communications with regard to VOICE events and other projects
 Manage all social media platforms and ensure timely payments as necessary
 Schedule meetings with Voice core team, NYD core team, NYD National team, admin and back-office meeting, and other voice meetings
Organizational planning and strategizing
 Manage & supervise all movement functions effectively. (HR, Finance & Admin, Digital Media, Creative Media).
 PM should be able to plan and execute the Board Decisions effectively within the given time frame.
 Analyzing project costings, risk factors & provide contingency plans.
 Monitor & utilize the movement resources effectively & initiate corrective action where necessary.
 Provide updates & projects plans to the Board when necessary.



 Handle & manage daily operations of the movement by keeping the Executive Director & respective parties informed.
 Maintain healthy relationships with internal & external stakeholders.
 Manage Project Coordinator with all his/her day to day work
 Be a focal point for all the project related concerns and inquiries
 Ensure all event/project reports and presentations are prepared and submitted in a timely manner
 Other duties as assigned by the National Director or authorized person.


Reporting Relationship

The proposed position will be based in Colombo. The National Director is designated as
the supervisor for this assignment.


 Diploma or Degree in project management, business administration, Management or in a
relevant discipline.
 3-5 years of progressive experience in project coordination and management. Experience
in working with NGOs or not for profit organization is an additional advantage
 Strong team leadership skill is essential to manage team
 Hands on experience in communication through digital media and technology.
 Ability to manage multiple projects and events simultaneously.
 Fluency in English is essential and fluency in at least one of the local languages
 People management skill is an additional advantage
 Highly organized, proactive and attention to details
 Great interpersonal and communication skills
 Ability to work independently and with strict deadlines
 Ability to accommodate and adopt last-minute changes with problem solving skills
 Ability to work is a diverse environment with sensitivity and respect
 Strong team person to work with all staff
 Preferably between the age of 20-35.
